Role Overview

We are seeking a proactive and motivated Human Resources Intern to support our HR function. This is a highly hands-on internship designed for someone who wants to learn by doing, take initiative, and actively contribute ideas to improve HR processes.

The HR Intern will play an active role in setting up and improving HR systems, working directly with employees and managers to manage day-to-day HR-related matters. The intern will interact regularly with staff to support onboarding, records, leave, performance processes, and general HR support. This role requires curiosity, discretion, confidence using systems, and a willingness to solve problems independently while learning on the job.

  1. Key Responsibilities

1.1. HR Operations & Administration

  • Support employee onboarding and offboarding, including document collection, checklists, system setup coordination, and orientation support.

  • Act as a first point of contact for employees on basic HR-related questions (leave, records, policies, procedures).

  • Maintain accurate and up-to-date employee records in the ERP system (contracts, leave, attendance, personnel files).

  • Assist with preparation and organization of HR documentation, letters, and forms.

  • Support leave tracking, attendance monitoring, and basic HR reporting.

1.2. Recruitment & Talent Support

  • Assist with drafting job descriptions, internship postings, and internal announcements.

  • Support recruitment coordination: CV screening, interview scheduling, and candidate communication.

  • Assist in maintaining recruitment trackers and talent pipelines.

1.3. Policies, SOPs & Compliance

  • Assist in updating and maintaining HR policies, SOPs, and employee handbooks.

  • Support documentation readiness for audits, inspections, or internal reviews.

  • Learn and apply basic labor law and internal compliance requirements.

1.4. Performance & Employee Engagement

  • Support performance review processes, appraisal tracking, and documentation.

  • Assist in organizing staff meetings, training sessions, and internal communications.

  • Support employee engagement initiatives and team culture activities.

1.5. Systems, ERP & Process Improvement

  • Assist in setting up, improving, and maintaining HR systems and workflows using the ERP system (Odoo).

  • Support configuration and use of HR-related modules (employee records, leave management, approvals).

  • Ensure accuracy, completeness, and consistency of HR data entered into Odoo.

  • Identify gaps or inefficiencies in HR processes and proactively suggest and help implement improvements.

  • Assist with structuring HR workflows, trackers, and simple dashboards within the ERP environment.

2. Required Skills & Competencies

2.1.Technical & Professional Skills

  • Strong interest in Human Resources, People Operations, or Organizational Development.

  • Comfortable using computers, applications, and ERP systems in a professional environment.

  • Willingness to learn and actively use Odoo (ERP) for HR operations.

  • Comfortable working with digital records, systems, and confidential information.

  • Interest in learning structured HR workflows and systems-driven processes.

2.2. Personal Attributes (Very Important)

  • Proactive, self-driven, and willing to take initiative.

  • Thrives in a fast paced , hands on start up environment.

  • Strong organizational skills and attention to detail.

  • Good communication skills and professionalism.

  • High level of integrity, discretion, and confidentiality.

3. Qualifications

  • Student or recent graduate in Human Resources, Business Administration, Psychology, Sociology, or a related field.

  • Prior HR coursework or internship experience is an advantage but not required.

  • Willingness to learn and adapt is more important than prior experience.

Responsibilities

  • Support day-to-day HR tasks, including employee records management, onboarding documentation, and internal HR trackers
  • Assist in maintaining and improving HR systems (e.g., ERP/HRIS) by updating data, testing workflows, and documenting processes.
  • Help coordinate recruitment activities, including application tracking, pre-screen questionnaires, interview scheduling, and candidate communications.
  • Support policy documentation and compliance efforts (e.g., leave policies, codes of conduct, internal guidelines).
  • Contribute to basic reporting and analysis on HR metrics such as headcount, leave usage, recruitment funnel data, and training records.

Must Have

  • Strong organizational skills with high attention to detail and accuracy.
  • Basic understanding of HR, business administration, or people management concepts (through coursework or prior internship experience).
  • Comfort working with digital tools such as spreadsheets (Excel/Google Sheets), documents, and online forms.
  • Clear written and verbal communication skills in a professional environment.
  • Ability to handle sensitive and confidential information with discretion and integrity.

Nice to have

  • Exposure to HR systems or ERPs (e.g., Odoo, BambooHR, Workday, or similar platforms)
  • Basic understanding of recruitment processes, employee lifecycle management, or labor compliance.
  • Interest in systems thinking, process improvement, or automation of administrative workflows.
  • Familiarity with data entry standards, simple dashboards, or reporting tools.
